Ask a creator who has been at this five years what they wish they had started earlier, and a surprising number will say the same dull thing: keeping their own copy of their customer list. Not because a platform failed them, usually. Because they changed email tools and lost the history, or their laptop went into the sea, or they wanted to answer a simple question about last year and discovered there was no version of last year to look at.

Why a live list is not a backup

Your customer list on store.fan builds itself from every purchase, membership and free download, and it is always current. Current is exactly what you want ninety-nine days out of a hundred. It is not what you want on the hundredth, when the question is what changed.

A live list can only tell you how things are now. It cannot tell you that you had 640 people in March and 810 in April, or that the twenty people who joined in the week of a particular video have spent more per head than everyone who arrived since. Once a month has passed without a snapshot, that month is gone as a comparison point, and no export you take later will bring it back.

The awkward part is that this is a task with no deadline and no consequence for skipping it, right up until the day there is a very large consequence. Which is precisely why it needs to be a ritual on a date rather than a task on a list.

The ritual

Pick a date you will remember. The first of the month is the obvious one; payday is the one people actually keep. Put a repeating reminder in your calendar, then do these steps in order.

  1. 1Open the customer list in your dashboard and export the full CSV.
  2. 2Rename the file the moment it downloads, using a format that sorts correctly: customers-2026-06-01.csv rather than customers(3).csv.
  3. 3Note the row count somewhere permanent, a plain text file or a spreadsheet tab. This is your list size for the month and it takes five seconds.
  4. 4Copy the file to a folder in whichever cloud storage you already pay for, in a folder that exists only for this.
  5. 5Keep a second copy somewhere that is not that account. An external drive you plug in monthly is unglamorous and works.
  6. 6Open the file for thirty seconds and check it is not empty or truncated. A backup you have never opened is a hypothesis.
  7. 7Delete nothing. Twelve months of these files is a few megabytes.
  8. 8Close the calendar reminder and get on with your day.

What the files are worth six months later

Imagine you have six monthly exports. In February the file has 410 rows, and by July it has 1,050. That alone tells you the shape of your growth, but the interesting part is the months either side of a launch: if March added 300 names and April added 40, you know something specific about where your audience actually came from, and you can go and look at what you did in March.

Now suppose you decide to move your newsletter to a different tool. Because the export includes everyone, buyers and free claimers alike, you can import the newest file wherever you like and keep the segments you care about, while the list here keeps building itself from new orders. The mistake most people make

They save the export into their downloads folder and consider the job done. Six months later the folder has four files called customers.csv, customers(1).csv and so on, all with the same date modified because they were copied at some point, and none of them can be trusted as a record of a particular month. The renaming step is the whole ritual. Everything else is just clicking. The other common error is keeping the file on the same laptop as everything else, which protects you from exactly none of the situations you are protecting yourself against.

Twelve monthly snapshots is a sensible working set. Beyond that, keep one file per year if you want the long view. Bear in mind these contain personal data, so "keep everything forever in a shared folder" is not the right answer either.

Somewhere access-controlled that you own, with a second copy offline. Not a shared team folder with open links, and not an email to yourself. Treat the file the way you would treat a printed list of your customers' addresses, because that is roughly what it is.
