What an online teacher’s worksheet really costs to produce

You sit down to make a worksheet that looks simple: a page of questions, a short explanation and an answer key. Three hours later, you are checking the reading level, rebuilding a table for screen readers and testing whether the PDF prints properly in black and white. The page count has barely changed, but the work has.

Start with the work behind the file

A worksheet is not priced by the number of boxes on the page. It is priced by the decisions behind those boxes. You choose an objective, decide what a learner should be able to do, find or create suitable examples, write instructions, anticipate mistakes and make the result usable without you standing beside the buyer.

Production stageWhat you are paying yourself to do
Research and planningCheck the subject, define the learning outcome and map the activities.
WritingDraft explanations, prompts, instructions and examples.
Answer keySolve every question, explain acceptable answers and flag common errors.
DesignCreate a readable layout with enough space to write or type.
AccessibilityCheck headings, reading order, contrast, labels, font size and alternative ways to use the file.
TestingPrint, open on different screens, follow the instructions and ask another person to use it.
RevisionsCorrect unclear wording, layout faults, factual errors and learner confusion.

Turn the process into an hourly cost

Write down the time for each stage rather than guessing one total. If research takes 1.5 hours, writing takes 2 hours, the answer key takes 1 hour, design takes 1.5 hours, accessibility takes 0.75 hours, testing takes 0.75 hours and revisions take 1 hour, the total is 8.5 hours.

Then choose the hourly amount you need the project to return. At £30 per hour, the labour cost is 8.5 × £30 = £255. Add direct costs such as paid source material, specialist review or commissioned illustrations. If those costs total £40, your production cost is £295. This is the amount the product needs to recover before it contributes to profit.

  1. 1Record the time you actually spend on the first worksheet, including admin and file preparation.
  2. 2Separate reusable work from product-specific work. A page template may help later, but the first template still took time to create.
  3. 3Include maintenance if you expect to update links, facts, software instructions or curriculum references.
  4. 4Keep a short revision log. Repeated fixes reveal where your process is costing more than expected.

Account for learning quality, not just layout

The answer key deserves its own line in your estimate. Writing an answer is not always enough. You may need to show a method, accept more than one valid response or explain why a tempting answer is wrong. That material is part of the teaching product, especially when the buyer is a parent, tutor or teacher using the worksheet without your direct support.

Accessibility also changes the production process. A visually attractive PDF can still be difficult to navigate with a keyboard, confusing when read aloud or unusable when printed. Give yourself time to check structure, contrast, text size, writing space and whether instructions make sense without relying on colour alone. If a learner needs a different format, decide whether you will provide it and include that work in the price.

Choose a price from a sales model

Once you know the cost, decide what job the worksheet is doing. For a standalone download, calculate the required sales: production cost divided by the amount retained per sale. The amount retained is your selling price minus payment processing and any other per-sale costs. Stripe's processing fee still applies, even when a storefront does not take a share.

Use of the worksheetPricing question
Standalone downloadCan the expected number of sales recover the full production cost?
Bundle componentWhat share of the bundle price should this worksheet contribute?
Lead magnetWhat future sale or email relationship justifies the work?
Course resourceDoes it improve the course outcome enough to support the course price?
Membership resourceWill ongoing access and repeated use justify the creation and support time?

Make delivery part of the calculation

A finished PDF still creates work after publication. Buyers may ask which app opens it, whether they can print it, where the answer key is or how to use an editable version. Write clear instructions and name the files plainly. If the product needs a demonstration, consider whether a short video or course resource is more suitable than adding another page of instructions.

You can deliver a digital download through store.fan's digital downloads rather than sending files manually. store.fan sends the money to your own Stripe account and takes 0% of sales; Stripe's own processing fee still applies. If you later need a fuller teaching pathway, Pro adds hosted course video, email marketing, discount codes, flash campaigns and creator-run affiliate programmes.

That delivery choice does not make the worksheet cheaper to produce. It removes some repetitive fulfilment work and gives you a clearer place to sell it. A storefront at store.fan/yourname can hold the download alongside a course, coaching offer or membership, so the worksheet can have a role beyond one isolated transaction.

Review the price after the first release

After launch, compare your estimate with what happened. If buyers repeatedly ask the same question, the instructions or answer key need work. If people download the file but do not use it, the promised outcome or format may be unclear. If sales are steady but the product takes too long to support, raise the price, improve the documentation or reserve the worksheet for a bundle.

Keep two numbers separate: the cost to make the first version and the cost to make the next version. A reusable layout, established checklist and tested file-delivery process can reduce future hours. They do not erase the original investment. Recording both numbers helps you decide whether to create another worksheet, commission part of the work or turn the topic into a larger product.

Page count can describe the product, but it does not measure the work. A two-page activity with original research, a detailed answer key and accessibility checks may take longer than a ten-page template. Use your production hours and the learner's outcome to set the price.

Include its production time in the course cost. The worksheet may not need to recover its cost through a separate sale, but it still contributes to the hours required to build and maintain the course.

You can, but the arithmetic still matters. A lower price requires more sales to recover the same cost, and more buyers can create more support work. Use a low-priced download deliberately as a lead magnet, bundle component or entry product rather than assuming volume will appear.
